Paying a work expense yourself can temporarily make personal spending look higher. Keep the purchase and repayment easy to identify.

Record what you paid

Note the purchase amount, date, and purpose as soon as possible. Keep the receipt where your employer expects it. The expense still affects your cash balance until it is repaid.

Keep a reimbursement list

Write down what was submitted, the expected repayment, and whether it has arrived. Do not treat a pending claim as cash already available for other bills.

Close the loop when paid

When the reimbursement reaches your account, match it with the original expense and mark the claim complete. If the amount differs, check the policy or ask the relevant person before changing your records.

Put the plan to work

Separating a temporary work outlay from ordinary spending makes the month easier to read. BillFoldify can help you track the expense while your reimbursement list holds the claim status.
